NexDial is a phone dialer for sales teams. It identifies callers from your employer's Zoho CRM and records each call against the matching customer record. This page explains what it handles, where that information goes, and what it never does.

Who is responsible for your information

NexDial is supplied to your employer, who decides what data is collected and why. Your employer is the data controller. Black Swan Business Setup Services operates the software on their behalf and is a data processor.

If you are a sales representative using the app, questions about your own data should go to your employer first. They control it.

What the app handles

Phone numbers and call details

When you make or receive a call, the app records the number, whether the call connected, how long it lasted, when it happened, and any note you write. This is sent to your employer's own Zoho CRM and attached to the matching lead or contact.

Calls to numbers that are not in the CRM have no record to attach to. They are kept on the device only, and are not uploaded.

Contacts on your phone

The app reads your device's contacts to show a caller's name instead of a bare number. Android does not do this for a dialer automatically, so the app has to look it up itself.

Contact data is read on the device and is not transmitted anywhere. It is not uploaded to Zoho, to Black Swan Business Setup Services, or to any third party.

Your Zoho account

You sign in with your own Zoho credentials. The app never sees your password — sign-in happens in your browser, and the app receives only an access token. That token is stored encrypted on your device and is used solely to read and write records in your employer's CRM.

Device health

If your employer runs a NexDial dashboard, the app periodically reports: your device model, the app version, whether it is set as the default phone app, whether background running is allowed, and how many calls are waiting to upload.

This exists so your manager can tell the difference between a quiet day and an app that has stopped working. It is sent to your employer's own server, not to Black Swan Business Setup Services.

What the app never does

Where information goes

WhatWhere it goesWhy
Call details and your notes Your employer's Zoho CRM To log the call against the customer record
Device health Your employer's NexDial dashboard So your manager can see the app is working
Contact names Nowhere — read on the device only To show who is calling
Zoho access token Encrypted on your device To read and write your CRM records

Zoho Corporation processes the CRM data under your employer's own agreement with them. Their privacy notice is at zoho.com/privacy.

How long it is kept

Call records in the CRM are kept for as long as your employer keeps them; they control that retention.

On the device, a call is held only until it has been uploaded, plus a short window so it can be shown in the app's own history. Device health records on the dashboard are kept while the deployment is active.

Permissions the app asks for, and why

PermissionWhy it is needed
PhoneTo place calls and to act as your default phone app
ContactsTo show a caller's name instead of a number
NotificationsTo show an ongoing call
Run in backgroundSo a call still uploads if you lock the phone

The app must be set as your default phone app to work at all. Android only reports call events to the app holding that role. Without it the app runs but records nothing.

Your rights

Depending on where you live, you may have the right to access, correct or delete your personal data, to object to its processing, or to request a copy of it.

Because your employer controls this data, direct those requests to them. Black Swan Business Setup Services will assist them in responding.

Security

Children

NexDial is a workplace tool and is not intended for anyone under 18.

Changes

If this policy changes materially, the date at the top will change and your employer will be notified.
